GotoWebinar Pretesting

ACCES Webinars are conducted using the Citrixonline product GotoWebinar. The GotoWebinars require your computer download the  application at the time of the Webinar. This application then contacts the Citrixonline servers through standard ports used for web traffic. In the vast majority of cases this happens relatively transparently without any issue.

Unfortunately the Webinar client will only connect once the Webinar is opened. we normally open the Webinars 10-15 minutes prior to the advertised start time. From experence this does not leave much time to trouble shoot problems if they occur. Unlike Skype and the like there is no test call feature available for GotoWebinar Product. However we have found a solution to this problem.

Installing GotoMeeting Software

In addition to GotoWebinar, Citrixonline also provides the product GotoMeeting. This product has a free client download that can be installed at anytime and used to check your internet connections and  audio settings. Your working settings for GotoMeeting will be used by GotoWebinar. You can download this client by joining a GotoMeeting that we have set up for testing. Click on the following link and allow the software to install itself.

Once installed and running it will indicate Waiting for organizer. Please note this meeting has been scheduled for 2025 so most likely will never take place.

We now need to run the GotoMeeting tray icon this is automatically launched if you are the organizer which you are not. So run the file;

c:\Program Files\Citrix\GoToMeeting\XXX\g2mstart.exe

Where XXX is a number that repreasents the build number of the GotoMeeting software. It was 880 as of the writting of this document. Different version will install themselves leaving more then one numbered folder. Always use the highest numbered foldered. For this reason it is not recommended that you make a short cut to this application.

Shortly you should see this icon in the tool tray icon.gif. Right click on the icon, next click on Preferences in the Pop-Up menu as shown in the diagram.

 

Connection Test

The Connection category allows you to test the status of your GoToMeeting connection.

It is not recommended that the connection test be done during a Webinar. Also this connect test may not be 100% as indicated by the following note from the Citrixonline Website

Note: To ensure a valid connection test, we advise that you refrain from testing your connection unless a GoToMeeting Customer-Care representative directs you to perform the connection test.

If the Connection test fails and are located in a Hospital Enviroment it may be due to your IT department's firewall policies. Hospital networks carry lots of sensative patient information so it is important that hospital IT departments carefully control what comes in and out of these networks.

GotoWebinar has very limited requirements of firewalls, it can be easily accomodated. If you wish to follow up on this with your IT department please forward to them the following document found at www.citrixonline.com/iprange so they may allow GoToMeeting/GoToWebinar to connect.

Setup and testing your Audio

The Audio category lets you set up and test your microphone and speakers for your meetings utilizing VoIP. If changes to your audio settings are made during a meeting, your microphone is temporarily muted so you can privately manage your settings.

  • Microphone Setup – Select a microphone from the drop-down menu. To test, speak into your microphone; if connected correctly, the sound bar will move when you speak.

  • Speakers Setup – Select your speakers from the drop-down menu. To test, click Play Sound; if connected correctly, the sound bar will move and you will hear a short soundtrack.

  • Advanced - GoToMeeting automatically adjusts audio levels. We recommend you keep this checked. If you uncheck this selection, you must manually configure your audio settings through Windows Sounds and Audio Devices. If your attendees cannot hear you because your voice sounds too loud and distorted, uncheck Use microphone boost.

 

Preventing future automatic startup of the GotoMeeting Client

The Start Up category lets you determine how you start GoToMeeting.

  • Automatically after I log in to Windows – This option starts GoToMeeting automatically after you log in to your PC.

  • Manually – This option sets GoToMeeting to start only when you launch the application from your Programs Menu.

  • Remember me on this computer – This checkbox enables automatic log in to GoToMeeting.

  • Show me desktop notifications – Desktop Notifications is a free GoToMeeting feature designed to deliver simple and effortless access to complimentary Citrix Online software upgrades, information, news and discounts individual users may be eligible for.

  • Remind me of upcoming meetings – This checkbox becomes available if you select Remember me on this computer and provides reminders for your scheduled meetings.

  • Periodically synchronize reminders with My Meetings – This option is applicable to Citrix Presentation Server users and is the recommended setting for optimal use. This checkbox becomes available if you select the Remind me of upcoming meetings checkbox and will synchronize meetings scheduled from a published Outlook® or Lotus Notes® with a local installation of GoToMeeting.
